How to build a quote that gets signed

Put your company at the top
Business name, phone, and your license number if your state issues one. That header is the first thing the customer reads and the first thing they compare against the other quote on the kitchen table.

Pick the system type
Burglar alarm, cameras, access control or fire. Each one loads a starter list of the parts that usually go on that job, named in words a customer understands. Rename, delete or add any line.

Put your own prices next to the items
Every price starts blank. We do not know your costs, your market or your margin, so we do not guess. If you want to see the shape of a finished quote first, press the example button and then type over every number.

The quote checklist
The difference between a quote that gets signed and one that gets shopped is usually not the price. It is what the customer can and cannot see on the page.
Put these on every quote
A customer cannot judge a number until they know what it buys. Six lines do most of the work.
- Your license number, if your state issues one. It is the fastest way to separate you from whoever knocked on their door last week.
- What each line item actually is, in words the customer uses. “Door and window contacts, six” beats a part number.
- Labor as its own line, with hours and your rate. Hiding labor inside the equipment price is what makes people ask for a discount.
- The monthly monitoring price and the term, side by side, with the total contract value spelled out underneath.
- How long the quote is good for. Thirty days is normal and it gives the customer a reason to decide.
- A place to sign and date. A quote with no signature line is a brochure.
If you split the install across the months
- Say plainly that it is a simple split of the install total, not financing. No interest, no finance charge, no credit application.
- Show both numbers: what the monthly is while the split runs, and what it drops to afterwards.
- Write down what happens if they cancel early, because that is the first question they will ask.
- If you want a real finance product instead, that is a lender's job and it comes with disclosure rules. Talk to your lender, not to a spreadsheet.
Before you hand it over
- Check every line has a price. A blank line reads as an unfinished quote.
- Read the total contract value out loud. If it surprises you, it will surprise them.
- Have the customer's name and address spelled the way they spell it.
- Know who answers when they call back with a question at seven at night.
Fire work has a floor under it that the customer does not get to negotiate. NFPA 72, the national fire alarm code, sets inspection and testing intervals and your local fire authority enforces them, so price the required visits before anything else goes on the quote.
Questions dealers ask
- Why are the prices blank?
- Because we do not know your costs, your market or your margin, and a made-up number on your quote is worse than no number. The starter lists give you the item names so you are not typing them out. The prices are yours.
- What does total contract value mean?
- The install total plus the monthly monitoring price multiplied by the number of months in the term. It is the whole number the customer is agreeing to, and putting it on the quote yourself is better than the customer working it out later and feeling surprised.
- Is the pay-monthly line financing?
- No. It divides the install total by the number of months in the term and shows the result. There is no interest and no finance charge in that number. If you want to offer real financing, that is a lender's product with its own disclosure rules — talk to your lender.
- Does the tax line handle labor?
- You decide. Some states tax equipment only, some tax installation labor too. There is a switch for it, and you should check your own state's rule rather than trust any calculator, including this one.
- Can I save it as a PDF?
- Yes. Press Print and choose “Save as PDF” as the destination. The quote is built to come out as one clean page with nothing from the website around it.
- Do you see my customer's information?
- No. The quote is built in your browser and nothing about the customer is sent anywhere. The email form at the bottom is optional and sends only your own name, company and email.
